Job Summary

Responsible for efficiently and effectively completing all Resourcing administration processes and activities within SC Ventures to include; internal moves, interview scheduling, meet/greet candidates, processing vendor invoices, offer letter and contract creation, liaison/co-ordination with GPS/vendor on pre-employment verification, system updating and hardcopy CV, support with shared drive organisation, resourcing tracker, annual leave and team organisation and documents management.

Key Responsibilities

Processes: Meet turnaround times and quality standards regarding contract management and related pre-employment activities such as issuing induction packs, ensuring timely creation of Bank ID, prompt p-filing and system updating, while at the same time ensuring adherence to global standards, country requirements and service level agreements, group policies and procedures.

Sourcing

Support recruiters administratively with Job Requisitions.

Selection

  • Schedule interviews, coordination with candidates and/or vendors, stakeholders’ diaries, booking rooms and facilities (e.g. video conferencing), on-site or virtual support as required.  Keeping track and informing respective recruiters.

Other day-day activities:

Reporting & System Management

  • Effectively and efficiently use the resourcing portals to manage the end to end resourcing process, recording all relevant details and keeping the system up to date at all times
  • Escalate any issues and risks, as appropriate so that they can be appropriately tracked and managed.

Regulatory & Business Conduct

  • Display exemplary conduct and live by the Group’s Values and Code of Conduct.
  • Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.
  • Ensure adherence to global standards, country requirements and service level agreements, Group policies and procedures.

  • Create Employee data on My recruiting, offer letters, contracts, relocation letters and welcome packs promptly, ensuring all contract administration work is completed promptly, accurately and efficiently with the relevant sign-offs
  • Track completion of all resourcing administration against deadlines e.g. contract return dates, joining letter issue dates, following up on screening and onboarding as required to ensure all administration is completed properly and in a timely manner
  • Support candidates on employment pass administration where applicable
  • Coordinate completion of pre-employment checks with external vendors, ensuring candidates provide required information in a timely manner, regularly monitoring vendor’s completion of all pre-employment checks in line GSSP, flagging all issues and delays to recruiters / Onboarding Team Leader / EHRMs in a timely manner for onward resolution
  • Complete Resourcing related pre-employment minimum standards (e.g. issuing contracts and induction packs, ensuring timely Bank ID creation, confirming start dates)
  • Ensure all personnel files (p-files) are promptly updated with the relevant documentation (e.g. signed contracts, legal right to work and address verification) for all hiring
  • Ensure compliance with relevant operational and people risk controls and employment legislation e.g. data protection, regulatory requirements on pre-employment screening
