Job Description

  We are seeking a detail-oriented Administrative and Finance Coordinator to join our team. The ideal candidate will be responsible for managing various administrative tasks and assisting in finance-related activities to ensure smooth operations within the organization.

Duties and Responsibilities: 

  • ePR Creation: Facilitate the creation of electronic Purchase Requests (ePR) ensuring accuracy and compliance with company policies and procedures.

  • GRN Creation: Generate Goods Receipt Notes (GRN) accurately reflecting received goods and services, coordinating with relevant departments for verification.

  • Track and Monitor Monthly Budget Utilization: Maintain records of expenditures and track budget utilization on a monthly basis, ensuring adherence to allocated budgets.

  • Budget Planning & Monitoring: Take a lead role in tracking, analyzing, and forecasting monthly budget utilization across multiple departments or projects, ensuring alignment with organizational goals and highlighting potential risks and opportunities for reallocation of funds.

  • Monthly Budget Utilization Reporting & Analysis: Provide senior leadership with detailed, high-level monthly reports on budget performance, including variance analysis, financial insights, and strategic recommendations for improving budget efficiency and optimizing resource allocation.

  • Strategic Support to the Division & CTO: Act as a senior point of contact for administrative and strategic support, coordinating high-level logistics for key initiatives, including major events, and offering support to the CTO in executive tasks such as managing travel arrangements, budget reviews, and special projects.

  • Process Improvement & Efficiency Optimization: Identify opportunities for process improvements within budget management, reporting, and actively driving initiatives that enhance efficiency and cost-effectiveness across the division.

  • Foster and build strong relationships with technology partners, service providers, and leaders through effective networking and collaborative engagement.

  • Facilitate awareness and knowledge sharing among the Group ICT departments. 

  • Ensure transparency and promote good governance.

Competencies & Core Skill Sets 

  • Diploma or Degree in Business Administration, Finance, or related field.

  • Proven experience in administrative roles, preferably in a finance or accounting environment.

  • Strong understanding of financial processes such as budgeting and expenditure tracking.

  • Excellent organizational and multitasking skills with keen attention to detail.

  • Able to provide independent view based on validated information, protects confidential information and demonstrates an objective and non-judgmental approach in line with best practices to AirAsia.

  • Proficiency in Google Workspace, particularly GSheet for data analysis

  • Punctilious person who pays extra careful attention to the finer details and do every task to the best of their ability

  • Ability to communicate effectively and collaborate with cross-functional teams.

  • Lateral thinker, with problem-solving and consulting skills. 

  • Prior experience in using ePR and GRN systems is advantageous.
