The opportunity
The Assistant Manager, Events & Promotions role offers an exciting opportunity to play a key part in planning and executing impactful events and promotional activities that align with organizational objectives. This role also focuses on ensuring seamless event operations, effective budget management, and impactful stakeholder engagement while maintaining high standards of quality and efficiency, it requires a strategic and proactive approach to managing complex logistics, fostering collaboration across teams, and driving continuous improvements to enhance overall event experience and organizational visibility.
Responsibilities
Develop and manage event budgets, ensuring cost control without compromising quality by negotiating with vendors and optimizing resource allocation.
Track financial performance across events, providing accurate and timely reports, and assessing ROI to guide future event planning decisions.
Work closely with the finance team to ensure timely payment processing, vendor reconciliations, and compliance with financial guidelines and policies.
Identify and implement cost-saving initiatives while maintaining operational efficiency and effectiveness.
Lead the end-to-end planning and execution of events, ensuring alignment with organizational goals, from strategic conceptualization to on-the-ground implementation.
Collaborate with internal stakeholders to define event objectives, coordinate logistics, and oversee vendor management to ensure high-quality service delivery.
Ensure all events adhere to timelines, budget allocations, and quality standards, mitigating risks and proactively solving challenges that arise during execution.
Utilize data-driven insights to refine event strategies, ensuring continuous improvement and enhanced participant engagement.
Plan and coordinate event logistics, including transportation, packing, and venue setup, ensuring all elements are delivered and installed according to the event schedule.
Oversee inventory management by maintaining accurate records of event materials, premium items, and trophies, ensuring availability for all events and minimizing discrepancies.
Provide technical support during events, ensuring the proper functioning of audio-visual and other technical equipment, and troubleshoot issues in real time to minimize disruptions.
Work closely with the pool driver to ensure seamless transportation arrangements for the CEO and VIP guests, ensuring punctuality and professionalism.
Collaborate with vendors to ensure timely delivery of materials, managing procurement processes, and negotiating cost-effective solutions without compromising quality.
Organize the production and distribution of collaterals and ensure their availability for event stakeholders, maintaining strong relationships with vendors to optimize service levels.
Monitor vendor performance, ensuring compliance with agreed service levels and identifying areas for improvement to enhance event outcomes.
Develop and distribute engaging circulars, event communications, and promotional materials in alignment with brand guidelines, ensuring clarity, accuracy, and audience engagement.
Oversee the creative process by working closely with design teams to ensure that all marketing materials maintain consistency and meet the required quality standards.
Regularly monitor and review content to maintain alignment with event goals and messaging strategies, ensuring minimal revisions and high stakeholder satisfaction.
Measure the effectiveness of communications and continuously seek improvements in content delivery and messaging strategies based on stakeholder feedback and data insights.

What we are looking for
Bachelor’s degree in Mass Communication, Marketing, Business Administration or Event Management, or a related field
Minimum 3 – 4 years of experience in event planning, promotions, or related fields, with a proven track record of managing large-scale events and campaigns in financial or insurance industry
Experience in budget management, vendor negotiations, and stakeholder engagement at various levels.
Strong background in coordinating cross-functional teams and working with internal and external stakeholders
Proficiency in MS Office Suite (Excel, Powerpoint, Word, Form, Outlook, Note & etc)
Excellent written and verbal communication skills in English; proficiency in additional languages is an advantage
Willingness to travel and work flexible hours, including evenings and weekends, as required for event execution
Ability to handle multiple projects simultaneously in a fast-paced environment
Possesses a valid driving license (Class D) with own transport
