Job Summary

As a part of the Capital Markets business, the Bond Syndicate team acts as a link between markets/investors and potential fixed income issuers. The key focus area for the London desk is EMEA issuers, and maintaining dialogue with EMEA investors, who participate in issuances from non-EMEA jurisdictions. The role of the Bond Syndicate Business Support will be two-fold; firstly, to assist with EMEA Deal and Non-Deal roadshows (from travel itineraries, to onboarding vendors, to invoice management), and secondly, to be responsible for additional administrative requirements for the Bond Syndicate team (including T&E, G&E, and business travel arrangements). This role presents a unique opportunity to demonstrate and enhance your financial and administrative skills in a diverse and dynamic market within financial services.

Key Responsibilities

  • Organising travel itineraries including booking flights, car pickups, accommodation, and prepare/submit visa requests, restaurants reservations etc. 
  • Processing of expenses; ensuring the Gifts & Entertainment register is updated within the parameters of the policy.
  • Raise and manage IT, Telecom and Market Data requests via SRM and Infomatch; tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process.
  • Book meeting rooms, refreshments, video conferencing, calls and ensuring visitor registrations. 
  • Distribution of post / arranging couriers.
  • Onboard new joiners / offboard leavers and movers by raising system accesses and software through SRM system.
  • Print procurement.
  • Onboard new vendors for invoicing and raise purchase orders where required, tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process.
  • Client events / roadshows – assisting with all logistics as required.
  • Ensure adherence to all internal and external regulations.
  • Ensure adherence with Group Policy and Standards and under local laws and regulations.
  • Contribute towards highlighting any need to update procedures and controls as a result of changes in products, systems, policy or regulations.
  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Skills and Experience

  • Previous experience in a business support or team admin role. 
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to multitask while remaining calm and professional.
  • Excellent interpersonal and communication skills (both written and verbal) to deal confidently with all stakeholders, both internally and externally.
  • Proactiveness, ability to work independently and as part of a team in a fast-paced environment.
  • Excellent attention to detail and ability to manage multiple tasks simultaneously.
  • Problem-solving skills with the ability to handle supplier and internal stakeholder queries.
