Workday is seeking a Project Manager, Employee Life. This is an individual contributor role based in Heredia, Costa Rica. The team supports a community of named site leaders across our offices, plans our largest employee events, coaches employees who plan smaller social events at each site, drives our global employee volunteer and charitable giving efforts, and partners with a range of stakeholders who help build and deliver a remarkable experience within each office. About the Role

In this role, you will be accountable for supporting the operations of our Employee Life programs including budget management, supporting Workday’s charitable and volunteer efforts by managing Benevity, an external platform, and supporting communications for our programs, including responding to employee questions. Your work drives positive Workmate experiences that bring Workday’s values to life. Specifically, you will:

Budget Management and Financial Administration

  • Manage the team and program budgets, ensuring accurate tracking and spend management. Reconcile actuals and distribute reports to program owners on a bi-weekly or monthly basis.

  • Oversee the Benevity budget, monitoring funds, and processing monthly Benevity invoices to ensure timely payment.

  • Proactively sense, diagnose, and address issues within expense reporting and work cross-functionally to build sustainable solutions for repeat occurrences.

  • Provide accurate and timely financial reports, analyses, and forecasts to support management decisions.

  • Work cross-functionally internally, specifically with Finance, Procurement and Accounting Teams, including managing the accrual process for related expenditures.

En esta función, será responsable de apoyar las operaciones de nuestros programas de Vida del Empleado, incluida la gestión del presupuesto, el apoyo a los esfuerzos benéficos y de voluntariado de Workday mediante la gestión de Benevity (una plataforma externa). También, apoyar en las comunicaciones de nuestros programas, incluida la respuesta a las preguntas de los empleados. Su trabajo genera experiencias positivas en los workmates que dan vida a los valores de Workday. En concreto, se encargará de lo siguiente:

Gestión presupuestaria y administración financiera

  • Gestionar los presupuestos del equipo y del programa, garantizando un seguimiento preciso y una gestión del gasto. Conciliar los montos reales y distribuir informes a los responsables del programa de forma quincenal o mensual.
  • Supervisar el presupuesto en la plataforma Benevity, monitorear los fondos y procesar las facturas mensuales en Benevity para garantizar el pago oportuno.
  • Detectar, diagnosticar y abordar de forma proactiva los problemas dentro de los informes de gastos y trabajar de forma interfuncional para crear soluciones sostenibles para situaciones reincidentes.
  • Proporcionar informes, análisis y pronósticos financieros precisos y oportunos para respaldar las decisiones de gestión.
  • Trabajar de manera interfuncional a nivel interno, específicamente con los equipos de Finanzas, Compras y Contabilidad, incluida la gestión del proceso de acumulación de gastos relacionados.

Benevity Management and Support

  • Serve as the primary point of contact for Benevity platform administration and support.

  • Troubleshoot and resolve employee issues related to Benevity access, campaigns, and transactions.

  • Create and manage Benevity reports, including quarterly SEC reporting and annual Global Impact Report data and respond to ad hoc requests such as providing information for Town Halls or Workday Weeklys.

  • Conduct weekly reviews and manage a variety of grant and matching programs, including  individual and team volunteer grants, employee match requests, and shelter pet subsidy.

Gestión y soporte de Benevity

  • Servir como punto de contacto principal sobre la administración y el soporte de la plataforma Benevity.
  • Solucionar y resolver problemas de los empleados relacionados con el acceso, las campañas y las transacciones en Benevity.
  • Crear y administrar informes en Benevity, incluidos los informes trimestrales requeridos por la SEC y los datos anuales del informe sobre impacto global, y responder las solicitudes ad hoc, así como proporcionar información para los ayuntamientos o para las reuniones semanales de Workday.

Employee Program Support and Administration

  • Manage a high volume of questions regarding Employee Life programs, often with standardized procedures.

  • Create and audit content on Horizon, internal-facing communications platform, to ensure information is accurate, easy to access and aligned with brand standards.

Qualifications

  •  3+ years of budget management and financial administration experience.

  • 3+ years of strategic program or project management experience, with proven track record to work cross-functionally and manage multiple tasks.

  • Experience working in a global, multi-functional organization with increasing responsibility. 

  • Experience preferred with Benevity or other volunteer or charitable giving tools.

  • Experience in communications (e.g, copywriting, public relations, internal communications, or marketing), and ability to effectively engage with individuals at all levels of the company, ranging from recent graduates to executives, and from 1:1 conversations to large-scale presentations. 

Cualificaciones

  •  Más de 3 años de experiencia en gestión presupuestaria y administración financiera.
  • Más de 3 años de experiencia en gestión estratégica de programas o proyectos, con experiencia interfuncional y de gestión de múltiples tareas.
  • Experiencia trabajando en una organización global y multifuncional con creciente responsabilidad. 
  • Se prefiere experiencia con Benevity u otras herramientas de voluntariado o de donaciones benéficas.
  • Experiencia en comunicaciones (por ejemplo, redacción de textos, relaciones públicas, comunicaciones internas o marketing) y capacidad para interactuar eficazmente con personas en todos los niveles de la empresa, desde recién egresados hasta ejecutivos, y desde conversaciones individuales hasta presentaciones a gran escala. 

About You

  • You are a highly motivated self-starter who relies on strong sense of self and work ethic. 

  • You have an ability to think clearly when navigating ambiguity and solving challenges; capacity to hold yourself accountable to produce on deadlines; attention to detail.

  • You have excellent written and verbal skills with the ability to craft and deliver clear communications for a variety of audiences (general employees, people leaders, senior leaders, executive).

  • You use your energy, drive and resourcefulness to solve problems, working collaboratively with the team to build long term, scalable solutions.

  • Ability to rapidly gain/build trust and confidence with team members and stakeholders with strong self-awareness, interpersonal skills and comfort with open and honest interactions.

Occasional travel may be required. This is a hybrid role, generally spending at least 50% time in office, however certain project work may necessitate increased time in office (up to 80% of the time) for short periods.

Es posible que se requiera viajar ocasionalmente. Se trata de una función híbrida. Generalmente. se pasa al menos el 50 % del tiempo en la oficina; sin embargo, ciertos proyectos pueden requerir más tiempo en la oficina (hasta el 80 % del tiempo) durante periodos cortos.
