Job Description

As a Facilities Specialist at SEEK, you'll be part of a fast-paced and supportive environment where you can make a real difference. You'll work on complex challenges that have a direct impact on people's lives, helping us evolve our business and reach new heights.

The Facilities Specialist (ANZ) is a critical business support role within the Facilities stream of SEEK’s Office Experience team. This position oversees the facility operations across all of SEEK’s offices in Australia and New Zealand, taking responsibility for the planning, implementation and optimization of facilities management practices.

The role encompasses management of the day-to-day facilities operations through developing and delivering on comprehensive operational plans, such as preventative maintenance programs, management of service delivery contracts and co-ordination of third-party contractors. As the first responder for complex facilities issues this role serves as the primary liaison between SEEK, landlord representatives and service providers, in managing both planned and reactive works. To ensure outstanding delivery standards, this role must hold strong technical knowledge and is hands on as needed to get the job done.

The Facilities Specialist demonstrates strategic thinking and makes independent decisions as appropriate to drive continuous improvement. Contract management, vendor performance, optimisation and cost efficiency are key focus areas to ensure SEEK offices maintain exceptional standards and enhance the overall office experience of employees while delivering value for money.

What You’ll Do:

  • Respond to and manage all day-to-day facility related queries and requests raised by SEEK employees
  • Manage SEEK’s preventative maintenance schedule and all reactive maintenance works, liaising with contractors and building management where appropriate to ensure all works are completed within the required time frames
  • Work in consultation with the Facilities Manager (APAC) to develop/improve/refresh/evolve and implement effective processes and procedures relating to office service delivery to the business
  • Monitor and maintain all safety and emergency procedures across all locations and hold the role of Chief Emergency Warden in SEEK’s Melbourne office.
  • Provision of cost effective and efficient facility services. In doing so identify opportunities / initiatives to improve productivity and minimise costs over time
  • Manage relationships, contract compliance and service level agreements with vendors ensuring a high standard of service delivery

The Team

The purpose of the Office Experience (OX) team is to provide office, facilities and people support for SEEK, as well as ensuring high levels of internal administrative support to SEEK employees.

The OX team is part of the People and Culture function. The OX team consists of three streams 1) Facilities Management, 2) Office Services, and 3) Data and Insights.

Qualifications

  • Previous experience in a busy facilities/property management role across multiple sites
  • Strong understanding of both hard and soft facilities services
  • Previous experience using CMMS, Building Management System (BMS) and other FM related platforms
  • Strong data analytics skills with the ability to customize reporting data to meet the audience needs
  • Excellent written and verbal communication skills with the ability to influence and negotiate with internal and external stakeholders.
  • Strong time management and attention to detail
  • Strong understanding and application of MS Office (Word, Excel, PowerPoint, Outlook) - Advanced
  • Flexibility and ability to respond to the changing needs of the business
  • Ability to build rapport and trust easily
  • Understanding of the role connecting people and teams, and office environments have on building a strong culture
  • Customer focused can-do, friendly and positive attitude
  • Ability to ‘think on your feet’ and problem solve
  • Enthusiastic and motivated
